Used Caterpillar Equipment Inspection Checklist: 6 Checks a Quality Manager Runs Before Buying

I work in quality at a Caterpillar dealer. In 2024 I reviewed roughly 1,200 used, rental-return, and customer-service units before release. I rejected around 6 percent of the first submissions that year. Most were not garbage; they just did not match the specification or repair history the seller presented. The same issues show up when a private buyer is about to purchase a used Caterpillar machine.

This checklist is for anyone evaluating a pre-owned excavator, loader, or dozer. If you only have an hour on site, use the six steps in this order.

1. Verify the machine before you trust the model badge

The full serial number is the first thing I write down. On Caterpillar equipment, the serial number is displayed on a plate on the frame, and often repeated on the engine block or a major drive component. The plate can be polished or replaced. The more permanent numbers are harder to change. Compare both.

Why start here? Because every other check is worthless if the machine identity is wrong. The serial prefix identifies the model family and arrangement. Run that number through a dealer lookup or ask your local Caterpillar parts desk for a spec confirmation before you make an offer. A mismatched number is a stop-sale red flag, even if the price feels great.

2. See it cold and start it yourself

Ask that the machine stay shut down until you arrive. If it is already warm when you get there, you did not see a cold start; you saw a machine that someone else has already brought to life.

A cold start tells you about cranking speed, fuel delivery, and internal wear. Look for slow cranking, long cranking time, and smoke that does not clear after the engine settles. In cold weather, some white vapor is normal for the first minute. Blue oil smoke that keeps going, coolant-colored white smoke with a sweet smell, or an engine that needs ether to start are not normal.

While it warms, check the instrument cluster and warning lights. If the machine has an electronic service tool port, ask for active fault codes to be read. Not every code means catastrophe, but nobody should discover a transmission code after the deposit.

3. Measure the undercarriage instead of eyeballing it

This is where I see the most expensive surprises on track machines. A freshly washed dozer or excavator can look honest. The undercarriage can still be near the replacement limit. The visual check is not enough.

If you have a track gauge or calipers, measure bushing diameter and compare it against the service manual limit for that model. If measuring sounds too involved, do the next best thing: look at sprocket teeth. A sprocket with a sharp or hooked profile tells you the chain has been running loose or the final drive components are well worn. Oil residue around track rollers and idlers is a sign of failed seals. Worn undercarriage bolts and pins also leave fresh rust in the dimples around the component, which is harder to hide than the salesman thinks.

A lesson learned the hard way: I once let a clean low-hour unit get too close to approval because I trusted the look of the rails. The sprocket teeth told a different story. That undercarriage cost another $28,000 in the first season.

4. Pull your own fluid samples while the machine is warm

A copied oil analysis from the seller is useful background, but it is not your sample. Pull your own. This is the step people skip when the timeline is tight. Skipping it is expensive.

Take engine oil, hydraulic oil, and coolant samples after the machine reaches operating temperature. Use clean bottles from a local Caterpillar dealer or their S·O·S program. Do not make the decision based on a dipstick. Clean-looking oil can still contain particles too small to see. High silicon means dust ingestion. High iron or copper means component wear. Glycol in an oil sample means coolant is getting where it should not. Those measurements are worth far more than the oil being yellow instead of black.

If a seller refuses to allow fluid sampling, treat that refusal as a finding. A healthy machine does not lose value because someone sends oil to a lab.

5. Look for repairs that were painted over instead of done properly

Fresh paint in structural areas is a flag. Sometimes it is normal reconditioning. Sometimes it is an attempt to hide a crack. The difference is documentation.

Inspect the welds around boom pins, stick joints, bucket linkage, and frame brackets. Look for grinding marks under fresh paint, uneven weld profile, or paint that does not match the surrounding texture. If a weld looks recent, ask for the work order and what procedure the repair used. A documented weld repair by a qualified shop can be perfectly safe. An undocumented one is a reason to keep negotiating.

Do not chip every weld on a machine; just focus on high-load areas. If you see a suspicious crack, use dye penetrant or ask for an ultrasonic test before you sign. A test costs much less than a boom failure.

6. Check the maintenance record for gaps instead of counting stickers

Service stickers and decals can be printed by anyone. A credible service record has dates, hour meter readings, and work order numbers linked to the unit serial number.

Compare the maintenance intervals in the Caterpillar operation and maintenance manual for that model to the actual service record. If the machine has 11,000 hours and no records between 4,000 and 6,000 hours, ask what happened in those years. If this was a rental fleet unit, ask for the rental company work orders. If it was privately owned, private records are still expected for major services.

For late-model machines, ask if the machine has Product Link telematics. Telematics can show fuel usage, idle share, and stored diagnostic codes. That helps you verify the hour meter itself. In my experience, most sellers are not hiding a rolled-back hour meter. But you do not want to find the one who is after the purchase.

After the Inspection: Keep Your Defensive Line Up

Three mistakes come up after the checklist looks good.

Waiting until the deposit is paid to verify the serial number. Write the inspection and sampling condition into the offer. Something like: final acceptance is subject to serial number verification, cold start, oil analysis results, and undercarriage measurements matching the condition report.

Buying the seller's rebuild description instead of the rebuild record. Rebuilt can mean new OEM parts. It can also mean cleaned, repainted, and put in a box. If a component was rebuilt, ask for the shop receipt and the worn parts. A quality-conscious shop will want to show them.

Rushing because the machine is unique. I can understand the pressure. Dealers like to move inventory quickly and auction schedules do not wait. If you cannot verify the machine within the available time, let it go. There is always another Caterpillar unit. A one-day inspection is cheap compared to a five-figure surprise after delivery.

The most frustrating part of this work is not finding defects. It is watching buyers ignore the ones they paid to have found. Use the checklist before the purchase, and repeat the last few steps after delivery. The machine that passes all six checks is not necessarily perfect. It is simply the one you understand. That is exactly what a quality inspector wants.
